Privacy Policy
This Privacy Policy is part of our Terms of Service. Any capitalized terms used but not defined in this policy have the meanings provided in the Terms of Service.
Who we are
We are the Vancouver Kaifong Association, a non-profit organization based in British Columbia. Our website address is: https://vankaifong.com.
We are committed to protecting your personal information in accordance with British Columbia’s Personal Information Protection Act (PIPA).
What personal data we collect and why
User Accounts & Membership Profiles
When you sign up for a VKA membership or register an account on our website:
- We collect details like your name, email address, phone number, and demographic details (such as nickname, gender, age group, and city of residence).
- Your login authentication credentials (passwords, social connection tokens, and active sessions) are managed and processed securely by our third-party authentication provider. We do not store your passwords on our own servers.
- We store and process your membership details (membership status, expiry date, join date, digital membership card ID) in our secure database to manage your membership, display your digital membership card, and verify eligibility for merchant discounts.
Event Registrations
When you register for our events, we use a third-party ticketing system. We collect the information you provide (such as your name, email address, and payment details) solely to process your ticket, manage the event, and send you event-related updates.
Donations
If you choose to donate to us, your payment is processed securely by a third-party payment provider. We do not store your credit card information on our servers. We may collect your name and email to send you a receipt and thank you for your support.
Embedded Content (Social Media)
Articles on this site may include embedded content (e.g., our Instagram social wall, videos, or images). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
These websites (such as Instagram or YouTube) may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, especially if you have an account and are logged in to that website.
Cookies and Analytics
Hosting
Our website is hosted on a third-party hosting platform. Our hosting provider may collect anonymized technical data (like IP addresses and browser types) to help deliver the website securely and protect against attacks (DDoS protection). This is standard for most websites and is necessary for security.
Cookies & Local Storage
Unlike many other sites, we do not use invasive third-party tracking cookies or advertising pixels.
However, to support user authentication, we use essential cookies and local storage (managed by our third-party identity provider) to securely keep you logged in to your account. These session identifiers are strictly necessary for the operation of the membership portal and dashboard.
Who we share your data with
We do not sell or trade your personal information. We only share data with trusted third-party service providers as necessary to run our website, manage memberships, host events, and offer perks. Specifically, your data is processed by:
- Our authentication and identity providers (to manage logins and secure your account).
- Our database hosting providers (to securely store member profiles and database records).
- Our email service providers (to deliver transactional emails, welcome packages, and reminders).
- Our payment processors (to securely handle membership dues and donations; credit card details are sent directly to the payment processor and never touch our servers).
- Special benefit providers (if you opt-in to special programs or perks like Perkopolis, we may share your email address with the provider to facilitate your access and account creation).
How long we retain your data
We retain personal information only as long as necessary to fulfill the purposes for which it was collected or as required by law.
Your Rights
Under BC law, you have the right to request access to the personal information we hold about you and to ask for corrections if it is inaccurate. You can also request that we delete your data, provided we are not required to keep it for legal or administrative reasons.
